Community Engagement and Outreach Grants
What funding opportunities are offered and what are the criteria for each?
The Children's Trust offers two main funding opportunities: the
Direct Service Program Enhancement Grant and the Community Outreach Grant.
Direct Service Program Enhancement Grant
This grant is for enhancing an existing program that provides direct services to children, youth, and families over a period of time. It is particularly beneficial for programs that serve high-need communities or populations where access to services is limited by physical or safety factors.
Required during the pre-application:
- A current W-9 form.
- EIN/SunBiz verification with active status.
- A 1:1 cash match or in-kind contributions from other funding sources.
- Evidence that the organization has been in operation for at least one year.
- Evidence that the organization has previously provided direct services.
Required documents after being awarded:
- An active Certificate of General Liability Insurance, due one month before the start of services.
- Workers' Compensation Insurance is required for organizations with four or more employees, including owners who are corporate officers or LLC members. This is due one month before the program starts.
- Automobile Insurance is only required if the proposal includes the transportation of children or youth and is due one month before the start of the program.
Community Outreach Grant
This funding supports partnerships and sponsorships for community outreach events that align with The Children's Trust's mission and values. Any proposed event with children or youth present must have a parent or guardian in attendance, which must be specified in the application.
Required documents during the pre-application:
- Current W-9 form.
- EIN/SunBiz verification with active status.
- Active Certificate of General Liability Insurance, due one month before the start of contracted services.
- Special Events Coverage Insurance is required for Community Outreach grants.
What are some examples of typical application proposals?
- Direct Service Program Enhancement Grant: This grant is for existing programs like summer camps, after-school programs, mentoring, or parenting programs that are not currently funded by The Children's Trust and would like to add an enrichment activity. It is intended to strengthen existing programming with an enhancement like a STEAM or robotics program. This grant is not for providing professional services to another organization's participants, nor is it for organizations already funded by The Children's Trust.
- Community Outreach Grant: This includes sponsorships of community events that support children and families in Miami-Dade County. Any event where children or youth are present must have a parent or guardian in attendance with them.
What are the requirements for an organization to be considered eligible?
An organization is eligible to apply if the following criteria are met:
- All services must take place within Miami-Dade County.
- The organization must have an "active status" on Sunbiz.org.
- The organization is not a Miami-Dade County Public School or a charter school.
- Proposed services or events must be planned to occur at least 90 days from the application submission date. For example, if the application is submitted on February 4, the event cannot happen before May 5.
- The organization's FEIN must have been active for at least one year from the time of application.
- For the Direct Service Program Enhancement grant, the organization must show historical evidence of direct service experience.
- If funded, an active Certificate of General Liability Insurance must be submitted 30 days prior to the start of services. Community Outreach grants may substitute this with special events insurance.
How does this funding work for religious institutions?
An organization cannot use any of The Children's Trust funds to support inherently religious activities, such as religious instruction, worship, or proselytization. Any such use of funds would require them to be returned to The Children's Trust.
Can I apply for grant funds if my organization is not a 501(c)(3) nonprofit?
Yes, you can apply even if your organization is not a 501(c)(3) nonprofit. It is suggested to review The Children's Trust Strategic Framework to ensure mission alignment.
If my organization was previously funded, do I have priority status?
No, previously funded organizations will not receive priority status.
If a third party will represent my organization, what additional steps are required?
If a third party, such as a consultant or grant writer, will communicate on behalf of your organization, their name and information must be listed as an Authorized User in the application. The Children's Trust will only discuss an application with authorized users.
Can I use a grant writer for my application?
While it is highly suggested that the organization completes its own application to build capacity, you can use a grant writer. However, grant funds from The Children's Trust can only be used for the services proposed and cannot be used to pay a grant writer.
When can I apply for funding?
Applications occur annually during a multi-week window in the summer before the new fiscal year, which begins on October 1. The applications are for use in the upcoming fiscal year.
Where should I submit my pre-application and application?
To submit, go to TheChildrensTrust.org/CommunityGrants, select one of the two grant types, and click on 'Click Here for Pre-Application'. The Trust Central system will then prompt you to create or log in with a username and password.
How will I receive communication?
All communications, including pre-applications, applications, contracting, and reporting, are processed through the Trust Central system. Emails will come from NoReply@trustcentral.org. If you don't receive a confirmation email within a few minutes, check your spam or junk folder.
Do the services need to occur within the same fiscal year as the application submission?
Yes, The Children's Trust's fiscal year runs from October 1 to September 30. Programs, services, and events must operate within the year the organization receives funding, and the application will not allow you to enter dates outside of this fiscal year.
What is the timeline?
Once a pre-application is submitted, you will receive an email from NoReply@trustcentral.org with an approval or decline response. If approved, the email will include a link to the official application. The official application must be submitted within the multi-week application window and at least 90 days before the proposed program, service, or event. After the application window closes, a multi-layered internal review process takes place, and you will be notified via email.
How are the applications reviewed?
The Children's Trust uses a multi-step review process to select and award organizations in a fair and open manner. Each application is independently reviewed by a team from various departments within the organization. Priority is given to organizations that serve high-need or overlooked communities, or provide a necessary service where barriers to access exist. The geographical location of services is also considered to avoid duplication. The review team may request additional information if needed.
Is there an appeals process for award decisions?
No, there is no appeals process for this funding opportunity.

Can I save and come back to my application?
Yes, you can save your application and return to it later. However, once you press the "submit" button, you can no longer modify it. The application is not complete until it is submitted.
What if I need assistance with a W-9 form or other related tasks?
You can review the tutorials under the "Prepare to Apply" section on The Children's Trust website.
Does my organization's name have to match on all documents?
Yes, the organization's name must be the exact same on the W-9 document and the Federal Employer Identification Number (FEIN) documentation.
How do I know my application was submitted?
You will receive an automatic confirmation email from NoReply@trustcentral.org indicating that your submission was received. If you don't receive it, check your spam or junk folder.
What does "other funding sources" mean?
This applies to the Direct Service Program Enhancement Grant, which requires a 1:1 match in dollars or in-kind funds. For example, if you request a $10,000 grant, the total program expenses should be at least $20,000.
Can I apply if my organization already receives funds from The Children's Trust?
These grants are primarily for organizations that are not currently funded through The Children's Trust's main investment areas. Organizations that are funded through other initiatives are only eligible to apply for the Community Outreach grant.
What is The Children's Trust's fiscal year?
The fiscal year is from October 1st to September 30th of the following calendar year.
How many times can I apply per fiscal year?
Each agency can be awarded only once per fiscal year for each funding opportunity. There can be no duplication of participants between programs with similar services.
What is the maximum funding award for each grant?
- Direct Service Program Enhancement: $20,000
- Community Outreach: $10,000
Most awards are less than the maximum amount.
What if I am not sure if my expenses are allowable?
Generally, transportation and food are not covered under these grants. For more information, you should check The Children's Trust Budget Guidelines and Procurement Policy on their website.
Can my organization use a fiscal agent?
Yes, an organization can use a fiscal agent. However, the fiscal agent must be listed as the applicant and will receive the funds if the grant is awarded.
Can I apply for funding every year?
An organization can reapply for funding each year. However, after three consecutive years of funding, an organization will not be eligible for a fourth year and must wait until the following fiscal year to reapply. This process is in place to allow for a wide variety of organizations to receive funding and to encourage organizations to diversify their funding sources for sustainability.

What to Expect Once Awarded
If you are awarded funding, you can expect the following:
- Relationship management with The Children's Trust staff.
- Attendance at mandatory Grant Management Sessions.
- Finalization and collection of required documents, including W-9, a New Vendor Onboarding Form, a Certificate of Insurance, and the contract/agreement.
- Contract/agreement management and notification responses through the Trust Central system.
- Account setup and invoicing through The Children's Trust's Finance Department.
- Site visit requirements.
- Closeout reporting requirements.
Will I have to sign documents before receiving funds?
Yes, all awarded organizations will have to review and sign a Contract or Agreement outlining the terms and conditions of the funding opportunity. For the Direct Service Program Enhancement grant, contract signatures are made available after the Certificate of Insurance is submitted and approved.
Will I have to provide proof of insurance?
Yes, all awarded providers must email their General Liability Certificate of Insurance (COI) or Special Events Insurance (for Community Outreach grants only) to CEInsurance@thechildrenstrust.org one month before services begin. The contract will not be available for signature until the insurance is submitted and approved. Services can only begin after the insurance is approved and the contract is signed by all parties.
What is needed on the General Liability Certificate of Insurance (COI)?
- The COI must cover the dates of the services proposed in the application.
- The name of the insured on the COI must be the exact full name of the organization as it appears on the W-9 and FEIN documentation.
- If another entity is providing the insurance, a letter explaining this will be required.
